Why being in partnership with your cleaning company is important

tips on how to work together for the best results...

TYou’ve gone through this process before. You did thorough research on cleaning companies in your area. Perhaps you met with a few. They all promised amazing service at great prices. Finally, you settled on one company and signed the contract. Then you never talked to those representatives again.

Week after week your employees are telling you that their offices weren’t dusted, the paper towels weren’t restocked and why is there a giant cobweb by your front door? You call your representative, no answer, no return call… The very idea of having to go through this process again is exhausting but this isn’t working. Back to the drawing board.

Often times large cleaning companies will sell you at their amazing price, but when it is time to get the job done the representative that you were speaking with is not who you will be working with. You will find that your team changes regularly because their employees are forever changing. It doesn’t have to be this way. When you form a partnership with your cleaning company from the beginning, your experience is set up for success.

Know your WHY

From the start, when interviewing a cleaning company be prepared to spend 20-30 minutes with them discussing your pain points. These are the reasons you are looking for a company to clean your office. Whether this is a new service or you are replacing an existing team, only you know why you are ready to hire someone to take on this task.  The company that you hire should want to know your WHY. It will become their duty to mitigate those pains and ensure that you are receiving the quality of service you require. If cobwebs in the reception area are something that has been repeatedly overlooked and is a pet peeve of yours bring that to the table. It will now be the responsibility of the cleaning team to ensure that they are consistently on the lookout for cobwebs.

Clear is Kind.

A great partnership relies on effective and frequent communication. A cleaning company shouldn’t communicate with you only when there is a problem. A great company will be proactive with their communication so you are never surprised. Here at Trinity Commercial Cleaning, we have invested in Clean Smarts, an app that allows for regular communication. The app allows us to see where our team is, know that they have arrived on time at their accounts, completed the agreed-upon checklist, and ordered any necessary supplies. As a business owner, you are able to view our inspection reports as well as communicate any concerns, share photos and insights and address any issues that may arise. All of this allows for ongoing training with our team and clear expectations mean improved performance.  This does not negate our commitment to personalized attention and our promise for a prompt response.

Help us help you

It is important to know what your cleaning team won’t do. For example at Trinity Commercial Cleaning, we won’t move papers on your desk. We will always assume that these documents are important and private. If a clean and sanitized desk is important to you and your team, then it is necessary to have the desk cleaned off before the cleaning team arrives. Does your cleaning team wash dishes? Most do not, if a clean and sanitized sink is important those items will need to be cleaned before the team arrives. Having a clear table, desk, sink, etc. will ensure that your facility is being properly cleaned and disinfected. Will they throw out questionable trash and items? Most likely no. If it is questionable it will most likely remain where it is. Having a designated area for trash, and boxes is necessary. This clarity allows the team to know that they are meeting your expectations and it allows you to have those expectations met every time.

Designate a location for supplies

Having a designated area that may house your cleaning supplies as well as consumables is extremely important. This will ensure that your office never runs out of the necessary supplies. This is a service that Trinity Commercial Cleaning offers to all of our clients. This is also a great location to designate boxes and recycling, leaving little room for error. Keeping these items in one centralized location allows for proper organization

Your business is unique.

Finally, do you think there’s any such thing as a one-size-fits-all partnership? We don’t think so either. Your cleaning company should be customizing their services and communication to your wants and needs if they want a true partnership. When joining in partnership with Trinity Commercial cleaning we do not ask that you sign a year-long contract. We believe that we will earn your business at every visit. With the additional services that we provide, we are able to customize a plan that fits your business needs. From our initial walk through where we discuss a checklist of tasks that your cleaning team will be responsible for, to the additional services like window cleaning or carpet care that your office may need, we do not believe that your business is like any other. Your needs are unique, your pain points are unique and it is our job to help you identify those so that we may build a partnership that is mutually beneficial.
